Novas Agency provides lead-focused websites and related digital services for trades and local service businesses. This policy explains how we collect, use, store, and protect personal data, including data used by Novas Outreach CRM.
Information we collect
- Contact details submitted through our website, including name, email address, phone number, and message content.
- Business information supplied by clients or collected from public business sources for outreach, sales, and service delivery.
- Technical information such as optional website analytics, device information, traffic source, landing page, and server logs.
- Gmail account information and message data when an authorised Novas Gmail account is connected to Novas Outreach CRM.
Optional website analytics
With your permission, we use Google Analytics 4 through Google Tag Manager to understand how people find and use the Novas Agency website. Optional analytics can record page views, form starts, successful enquiry submissions, phone-link clicks, WhatsApp-link clicks, and non-sensitive campaign or referral information.
We do not send names, email addresses, phone numbers, message content, or other contact-form details to Google Analytics. Analytics remains off until you select Accept analytics. Your choice is stored on your device so the site can remember it, and you can change it using the Analytics settings link in the site footer. Advertising storage and advertising personalisation remain disabled by this analytics choice.
When analytics is accepted and you submit an enquiry, the non-sensitive traffic source and landing-page information may also be included with the private enquiry received by Novas. This helps us understand which marketing activity led to a genuine enquiry.
Google processes analytics information as a service provider. You can read Google's Privacy Policy for more information.
How Novas Outreach CRM uses Gmail data
Novas Outreach CRM connects to one authorised Gmail account so Novas can create email drafts, send approved outreach emails, read inbound replies, match replies to CRM leads, and record outreach history in the CRM database.
The CRM requests these Gmail API scopes:
- Gmail compose: used to create drafts and send approved emails from the connected Novas account.
- Gmail readonly: used to read inbound replies and sync reply metadata/content into the CRM.
We do not sell Gmail data. We do not use Gmail data for advertising. We do not transfer Gmail data to third parties except where necessary to provide, secure, or maintain the CRM service, or where required by law.
Google API Limited Use
Novas Agency's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy , including the Limited Use requirements.
How we use information
- To respond to enquiries and provide requested services.
- To manage client projects, support requests, outreach activity, follow ups, and CRM records.
- To maintain compliance records, suppression lists, opt outs, and audit logs.
- To secure, debug, and improve our websites and internal systems.
Data retention
We keep CRM, enquiry, and client service records only for as long as needed for business operations, compliance, security, and legitimate record-keeping. Suppression and opt-out records may be retained longer so that we do not contact people who have opted out.
Your choices
You can request access, correction, deletion, or restriction of your personal data where applicable. You can also opt out of marketing contact at any time by following the opt-out instructions in an email or contacting us directly.
